Privacy Policy

Version 1.0 · Last updated 2026-09-15

Hospital & Patient Privacy CleanYZO may be used in a hospital environment. Do not enter, upload, photograph, or intentionally store patient medical information or unnecessary patient-identifying information in CleanYZO. When using photos/evidence, avoid patients, medical screens, medical records/documents, patient names or identifiers, and other sensitive medical information.

1. What CleanYZO Is

CleanYZO is an operational work-management system used by cleaning operations teams to coordinate attendance, task assignment, inspection rounds, and related operational reporting.

2. Categories of Information Processed

Depending on your role and the features your organization has enabled, CleanYZO may process: your account identity and Employee Number; your work role; your company and project association; attendance records; "On the Way" confirmations; work assignments and their department/floor; tasks and their status; leave/day-off information; inspection round and operational report data; work-related notes you enter; and photos/evidence you choose to upload when using that feature.

3. Purposes of Processing

This information is used only for legitimate operational purposes: assigning and tracking work, confirming attendance, coordinating inspection rounds, generating operational reports for your organization's management, and maintaining the security and integrity of the system (for example, enforcing who may see or act on which records).

4. Attendance, "On the Way", and Location

CleanYZO does not continuously track your location. "On the Way" is a simple confirmation you choose to send to notify your supervisor that you are on your way to work - it does not use your device's location and does not by itself start or stop a work timer. When you Check In or Check Out for attendance, and only at that moment, CleanYZO may request your device location (subject to device permission and your organization's configuration) to confirm you are at the approved worksite. Location is never requested in the background or outside of that specific action.

5. Tasks and Operational Assignments

CleanYZO records the tasks assigned to you or by you, their status (pending, in progress, completed), and related notes, so work can be coordinated and tracked by your organization.

6. Inspection and Report Information

For roles that perform inspection rounds, CleanYZO records the round, the departments/floors visited, quality ratings, and related notes, to support your organization's quality and operational reporting.

7. Photos / Evidence

Where the photo/evidence feature is used, photos you capture or select are uploaded and stored to document task, issue, or inspection status. See the Hospital & Patient Privacy notice above - do not photograph patients or medical information.

8. Role-Based Access

Who can see or act on your information depends on your role and your organization's structure (for example, your supervisor, project manager, or higher management within your project/company), subject to the access rules enforced by the system.

9. Data Security

CleanYZO uses industry-standard practices such as encrypted network connections and database access controls to help protect information. No system can guarantee absolute security, and this policy does not claim CleanYZO is immune to all risk.

10. Service Providers / Cloud Processing

CleanYZO is built on Supabase, a cloud database and authentication provider, to store and process the information described above. Your organization's own IT/legal team is responsible for confirming this arrangement meets its requirements before production use.

11. Retention / Deletion

When an account is deleted, access to the account is removed and account/personal data that is no longer necessary is deleted where appropriate. Operational work records - including attendance, tasks, assignments, inspection rounds, reports, and related work records - may be retained for as long as reasonably necessary for legitimate operational, legal, regulatory, security, or record-keeping purposes. When there is no longer a legitimate need to retain such information, it should be deleted or anonymized where appropriate. See the Account Deletion page for how to request deletion of your account.

12. Your Access, Correction, and Contact

To ask about, correct, or request removal of your information, contact your organization's designated CleanYZO administrator, or email us directly at privacy@cleanyzo.com. For general support, contact support@cleanyzo.com.

13. Policy Changes and Versioning

This Privacy Policy is versioned. If it changes in a way that affects how your information is used, you will be asked to review and accept the updated version before continuing to use CleanYZO.

14. Hospital and Patient Information

CleanYZO may be used in hospital and clinical environments. You must never enter, upload, photograph, or otherwise store patient medical information, or unnecessary patient-identifying information, in CleanYZO. See the Hospital & Patient Privacy notice above for details.
